Conference Schedule

Registration will start on Sunday February 25th in the afternoon.

The opening session is scheduled to take place on Monday February 26th at 8:30;

the conference will end on Friday March 2nd at 17h.

Session hours are 8:30 – 12:30 and 14:00 – 17:30

Sessions of the conference will be held in the ICISE conference Center.

Conference Facilities

The following equipment will be available :

  • video projector for computer presentations
  • overhead projector
  • internet access will be available at the conference site.  A wireless hub is installed and covers the whole conference building

Accommodation

Accommodation in the four star Seagull Hotel in Quy Nhon is guaranteed if your registration is made before December 16th, 2017.  After this date, if the Seagull hotel is full, you will be accommodated in a neighbouring hotel.

All sessions will be held in the ICISE conference center, 10 minutes taxi (or one hour walk) away from the hotel. (you can visualise it on this map). Daily bus transfer (morning and end afternoon) will be provided by the conference organization.

Participants will be expected to arrive on Sunday February 25th, and will leave on Saturday March 3rd in the afternoon.

Breakfast and dinner will be served in the hotel for all participants. Lunch will be served at ICISE. The cost per person (room and meals for 6 days, from February 25th evening to March 3rd morning) will amount to $315 US for a double room and $450 US for a single room. Cost per additional day is $55 US for double room and $80 US for a single room .

If you wish to have alcoholic or soft drinks with your meals, these will be charged to your account by the hotel. The meals will include mineral water.

Payment for board and lodging should be done upon arrival either in cash or with your credit card (the latter will incur a small supplement).

Important Note:
Hotel reservations are made for the whole duration of the meeting, i.e. from Sunday noon, February 25th to Saturday morning March 3rd. Please note that the total cost of the meeting cannot be reduced even in case of partial attendance.

If you intend to arrive before Sunday, February 25th and leave after Saturday, March 3rd, please let us know in advance so that we can try to make the appropriate hotel reservation for you: email to rencontres.vietnam@gmail.com

Please note also that if you arrive before midday and wish your room to be made available immediately, you will be charged for an extra day. You must inform us so that the hotel can prepare your room in advance.

Travel

There are two main international airports in Vietnam: Hanoi (Noi Bai airport: HAN) and Ho Chi Minh (Tan Son Nhut airport: SGN).

As there are more flights from Ho Chi Minh to Quy Nhon, it is more convenient to fly from foreign countries to Ho Chi Minh than to Hanoi.

In order to welcome you and organize your transfert from Quy Nhon airport to the conference hotel, please inform the conference secretariat (rencontres.vietnam@gmail.com) at least two weeks in advance of your flight number as well as the date and the arrival time in Quy nhon.

Conference buses will be available at Quy Nhon airport on Sunday February 25th (morning and afternoon flights) and Monday February 26th (morning flights). People from the conference will be present at the Quy Nhon airport on Sunday February 25th for assistance and help.

Immigration / Visa

All participants do require a visa to visit Vietnam, except for few exemptions listed below.

Vietnam Visa exemption is granted to citizens of:

      • Thailand, Malaysia, Singapore, Indonesia, Cambodia and Laos for visits of 30 days at the maximum.
      • Philippines for visits of 21 days at the maximum.
      • Japan, South Korea, Sweden, Norway, Denmark, Russia and Finland for visits of 15 days at the maximum. At the end of June 2015, 5 more countries have been added to this list: France, Germany, Italy, Spain & United Kingdom for one year and then prolonged for another year in June 2016.

Apply for a TOURIST VISA, you may use the official website to get the E-visa.  The time of processing is only 3 to 4 working days to get it.  You just print out the approved E-visa and present it directly to the officer at the immigration desk.

If you plan to stay Vietnam longer than a month, please either go to your nearest vietnamese consulate or through the Internet (you will have to retrieve it on your arrival) at  following websites:

This internet visa procedure is the simplest and the cheapest, but it will take you some time on arrival in Vietnam at the airport immigration office (up to ~ 60 min waiting, depending on your position in the queue). Do not forget to bring with you 2 passport photos and the required amount of USD currencies (exclusively) in cash.

The transfer should indicate clearly your name to identify the payee.  Please inform the conference secretariat by fax or email that the transfer has been done.  You should obtain proof of payment and hand it to the conference secretariat at the conference site.  It will take at least four (4) weeks for our account to be credited, so please have the transfer made before January 25th, 2018.

Financial Support

Some limited accommodation funds may be available for young scientists. The application form for financial support should be filled in (including a short resume) and submitted. A letter of recommendation should be sent to:

Welcome cocktail on Sunday February 25th at 19:00.

Excursion on Wednesday February 28th afternoon.

All participants and their families are invited to regularly scheduled events.
Please note that if you and/or a guest wish to organize a special tour, a tour operator at the hotel can help you.

Several post-conference Tours will be proposed for participants: a feeling of these can be seen on this web site.

It will also be possible to have a short (1-2 days) tour either before or after the conference. However, this will have to be arranged directly by the participant through a local travel agency. We will provide the link for a local travel agent in the near future.
