Conference Schedule

Registration will start on Sunday August 6th in the afternoon.

The opening session is scheduled to take place on Monday August 7th at 8:30;

the conference will end on Saturday August 12th at 11h.

Session hours are 8:30 – 12:00 and 13:30 – 16:30

Sessions of the conference will be held in the ICISE conference Center.

Conference Facilities

The following equipment will be available :

  • video projector for computer presentations
  • overhand projector
  • internet access will be available at the conference site.  A wireless hub is installed and covers the whole conference building

Accommodation

Accommodation in the four star Seagull Hotel in Quy Nhon is guaranteed if your registration is made before May 16th. After this date, if the Seagull hotel is full, you will be accommodated in a neighbouring hotel.

All sessions will be held in the ICISE conference center, 10 minutes taxi (or one hour walk) away from the hotel. (you can visualise it on this map). Daily bus transfer (morning and end afternoon) will be provided by the conference organization.

Participants will be expected to arrive on Sunday August 6th, and will leave on Saturday August 12th in the afternoon.

Breakfast and dinner will be served in the hotel for all participants. Lunch will be served at ICISE. The cost per person (full board for 6 days) will amount to $315 US for a double room and $450 US for a single room. Cost per additional day is $55 US for double room and $80 US for a single room .

If you wish to have alcoholic or soft drinks with your meals, these will be charged to your account by the hotel. The meals will include mineral water.

Payment for board and lodging should be done upon arrival either in cash or with your credit card (the latter will incur a small supplement).

Important Note:
Hotel reservations are made for the whole duration of the meeting, i.e. from Sunday noon, August 6th to Saturday morning August 12th. Please note that the total cost of the meeting cannot be reduced even in case of partial attendance.

If you intend to arrive before Sunday, August 6th and leave after Saturday, August 12th, please let us know in advance so that we can try to make the appropriate hotel reservation for you: contact rencontres.vietnam@gmail.com

Please note also that if you arrive before midday and wish your room to be made available immediately, you will be charged for an extra day. You must inform us so that the hotel can prepare your room in advance.

Travel

There are two main international airports in Vietnam: Hanoi (Noi Bai airport: HAN) and Ho Chi Minh (Tan Son Nhut airport: SGN).

As there more flights from Ho Chi Minh to Quy Nhon, it is more convenient to fly from foreign countries to Ho Chi Minh than to Hanoi.

In order to welcome you and organize your transfert from Quy Nhon airport to the conference hotel, please inform the conference secretariat of your flight number as well as the date and the arrival time in Quy nhon.

Conference buses will be available at Quy Nhon airport on Sunday August 6th (morning and afternoon flights) and Monday August 7th (morning flights).

Immigration / Visa

All participants do require a visa to visit Vietnam, except for few exemptions listed below.

Vietnam Visa exemption is granted to citizens of:

      • Thailand, Malaysia, Singapore, Indonesia, Cambodia and Laos for visits of 30 days at the maximum.
      • Philippines for visits of 21 days at the maximum.
      • Japan, South Korea, Sweden, Norway, Denmark, Russia and Finland for visits of 15 days at the maximum. At the end of June 2015, 5 more countries have been added to this list: France, Germany, Italy, Spain & United Kingdom for one year and then prolonged for another year in June 2016.

Apply for a TOURIST VISA either at your nearest vietnamese consulate or through the Internet (you will have to retrieve it on your arrival) at websites:

This internet visa procedure is the simplest and the cheapest, but it will take you some time on arrival in Vietnam at the airport immigration office (up to ~ 60 min waiting, depending on your position in the queue). Do not forget to bring with you 2 passport photos and the required amount of USD currencies (exclusively) in cash.

The deadline for registration and hotel reservation is June 15th, 2017.

The transfer should indicate clearly your name to identify the payee.  Please inform the conference secretariat by fax or email that the transfer has been done.  You should obtain proof of payment and hand it to the conference secretariat at the conference site.  It will take at least four (4) weeks for our account to be credited, so please have the transfer made before July 6th, 2017.

Some limited accommodation funds may be available for young scientists. The application form for financial support should be filled in (including a short resume) and submitted. A letter of recommendation should be sent to:

Welcome cocktail on Sunday August 6th at 19:00.

Excursion on Wednesday August 9th afternoon.

All participants and their families are invited to regularly scheduled events.
Please note that if you and/or a guest wish to organize a special tour, a tour operator at the hotel can help you.

Several post-conference Tours will be proposed for participants: a feeling of these can be seen on this web site.

It will also be possible to have a short (1-2 days) tour either before or after the conference. However, this will have to be arranged directly by the participant through a local travel agency. We will provide the link for a local travel agent in the near future.
